Rental Rules & Policies

Clear expectations make great pilots. Please review before flying.

Aircraft Operations

  1. All flights begin and end at Cleburne Regional Airport (KCPT) unless prior approval is given.
  2. A satisfactory checkout flight with a KCPT-approved CFI is required before solo rental.
  3. Renters must hold a current FAA pilot certificate, medical (or BasicMed), and a current flight review.
  4. Maintain currency per FAR 61.57 (90-day passenger currency, instrument currency where applicable).
  5. Conduct a thorough preflight inspection before every flight. If anything is in doubt, do not fly.
  6. Use only 100LL or approved fuel. Confirm fuel quantity and quality before departure.
  7. Operate aircraft within published limitations (weight, balance, performance, V-speeds).
  8. No flight into known icing conditions in any aircraft.
  9. VFR rentals require minimum 3,000-ft ceilings and 5 SM visibility unless current and approved for less.
  10. IFR flight only in IFR-certified, equipped, and current aircraft; renter must be IFR current.
  11. No aerobatics, spins (except CFI-supervised training), or formation flight.
  12. Maximum continuous power settings as published — no abusive operation.
  13. Lean engine appropriately during cruise; follow POH guidance for mixture management.
  14. Carry the aircraft's required documents (ARROW), POH, and current charts on every flight.
  15. Use of seat belts and shoulder harnesses (where installed) is mandatory for all occupants.
  16. Smoking is prohibited in all KCPT Flyers aircraft.
  17. No animals except service animals; please ask first.
  18. Report any anomaly, squawk, or incident immediately — do not attempt to repair or troubleshoot.

End of Each Flight

  1. Park the aircraft in its assigned tie-down spot or hangar position.
  2. Secure with all three tie-down ropes; install control lock and pitot cover.
  3. Refuel to tabs (or as instructed); record fuel added on the squawk sheet.
  4. Record Hobbs and Tach times accurately in the aircraft log.
  5. Note any squawks, however minor, on the squawk sheet — even cosmetic items.
  6. Return aircraft keys, fuel cards, and any borrowed equipment to the office.

FAA & Insurance Requirements

  1. Renters must carry a minimum of $30,000 renter's liability insurance with hull coverage. Proof required before rental.
  2. Avemco renter's insurance is not accepted due to historical claim issues. AOPA, Falcon, BWI, and SkyWatch policies are accepted.
  3. You are responsible for the insurance deductible in the event of damage.
  4. All operations conform to 14 CFR Part 91 (and Part 61 for training).
  5. Pilot certificate, medical (or BasicMed), and government photo ID must be presented at checkout and on file.
  6. Logbook endorsements (high-performance, complex, tailwheel) must be current and appropriate to the aircraft being flown.

Reservations & Scheduling

  1. All reservations are made through our online Chronos scheduling system.
  2. Block time renters receive priority booking for advance reservations.
  3. Cancellations less than 24 hours in advance may result in a one-hour minimum charge.
  4. Weather cancellations are never charged — safety first.
  5. No-shows are charged a two-hour minimum.
  6. Overnight or multi-day rentals require a 2-hour minimum per day.
  7. Cross-country trips beyond 200 NM require dispatcher approval.
  8. Aircraft must be returned by the scheduled time, or the next renter must be notified through the office.

Rates & Fees

  1. All rental rates are wet (fuel and oil included). Hobbs time is used for billing.
  2. Payment is due at the end of each flight unless arranged on account or block time.
  3. Returned checks incur a $35 fee plus any bank charges.

Block Time Details

  1. Block time is a pre-paid balance of flight hours at a discounted rate. Ask for current pricing.
  2. Block time is non-refundable but transferable to another aircraft in our fleet at the equivalent dollar value.
  3. Unused block time if not used in 24 months will be lost
  4. Block time will only be refunded in the first 30 days after purchased. It is not refundable
